We sat down with payroll lead Gun Olsson, and payroll specialists Helena Petersen, Caroline Söderberg, and Helen Lövenvall in their Mölndal office, just outside of Gothenburg, Sweden. They talked at length about the time and cost savings Skovik provides.

Customising Skovik to company policy

One of the benefits to Skovik is that it can be personalised to adhere to company policy, says the team at Hedin Mobility Group. This spares them of boring, or even uncomfortable tasks, Gun says:

“It’s tedious having to manually assess whether a receipt included alcohol and decide whether it should be sent to the CEO for an extra review step. Now it happens automatically. And you also avoid those grey areas, like when someone submits an entertainment receipt for an event that their manager attended. That’s also automated now, to go straight to the manager’s manager, instead of to the manager. It saves us from those somewhat boring and somewhat uncomfortable situations”.

Caroline adds that because it’s the system that adds the additional step, it’s easier to refer to the policy if anyone brings it up. Gun continues:

“And with so many receipts, it’s easy to miss. So getting help from the system on things like this, and with VAT for example, makes a big difference. The system should be doing the work, so that we can spare our brains from the extra work”.

She adds: Any time we can automate one of our processes, so that we don’t have to manually review something, it saves us time.

In the hands of a dedicated success manager

It’s not a coincidence that Hedin Mobility Group is enjoying their Skovik set-up so much. It was personalised to their needs and preferences by their customer success manager. It’s really valuable having someone tell you what options there are and what would work well for us, says Gun.

She continues: I was full of energy after our last check-in meeting! Like yes, even more new features we can add that make things easier and better for us.

The recommendations they have received from their success manager have helped them reduce the number of reports they need to send back, Helena says. She adds: When we’ve shared what would be nice to have, Kerstin’s come with really great suggestions. She’s really responded with helpful solutions when we’ve asked for something.

Benefitting from Skovik as a large organisation

The time and cost savings Hedin Mobility Group makes thanks to Skovik is a recurring theme throughout our conversation. The user-friendliness of the system is one of the ways in which Skovik helps:

“The fact that we don’t really need to do any formal training, hardly have any guides available and don’t send out any instructions says a lot about how intuitive the system is. That’s a big financial benefit in a complex organisation like ours. With so many subsidiaries involved it would be incredibly costly if we had to travel around and run training and spend all that time. So having a tool that’s this easy to use is a real asset”.

Considering how many employees we have, not getting a lot of questions is quite telling, Helena adds.

Skovik is easy to use also on the back-end, says Gun: With so many receipts to manage, having a user-friendly system that lets you work through them quickly is a really big advantage.

The same goes for the many subsidiaries they have, 45 and counting in Skovik. Being able to house them in the same system is a real time-saver, the team says. Caroline explains:

“Sometimes you end up answering questions from employees in other companies too. If someone calls and I don’t know where they work, I can just search for them and see which company they’re in. And even if I don’t normally handle that company, I can still easily help without having to log out, log in, and all that. So that’s really great”.

How smoothly Skovik is running for both the end-users and those working with it behind the scenes is one of the team’s favourite things about the system, they say. When asked if they would recommend us, they are quick to say that they absolutely would. Gun adds that Charlotte Martinsson, the person at Hedin Mobility Group responsible for implementing Skovik a few years back, is very good at making it known how much she recommends Skovik. She’s practically selling it for you, she says and laughs.
